Marketing Email Server: How to Send Without Getting Blocked

Email campaigns from your server = full control. But without proper setup = blocked. We explain: warm-up, SPF, DKIM, and list management.

Why You Need a Dedicated Email Marketing Server

Sending marketing campaigns from your regular mail server is a recipe for disaster. The reason is straightforward: mail servers are designed for daily correspondence, not for blasting thousands of messages at once. The result: your IP enters blacklists, team emails stop delivering, and domain reputation suffers.

The solution: A separate server dedicated to email marketing. Different IP. Separate reputation. If problems occur, your company's daily email remains unaffected.

Technical Requirements

Server Specifications

Server size depends on your mailing list size and sending frequency:

List Size Suggested Specs Approximate Annual Cost
Up to 10,000 2 vCPU, 4GB RAM, 40GB SSD competitive pricing — pricing and plans
10,000 - 50,000 4 vCPU, 8GB RAM, 80GB SSD 1affordable pricing — pricing and plans
50,000 - 200,000 8 vCPU, 16GB RAM, 160GB SSD 19,500 SAR

Required Software

Email sending platform:

  • Postal — Open source, web interface, full tracking
  • Mailtrain — Open source, Mailchimp alternative
  • Mautic — Full marketing automation, open source
  • listmonk — Lightweight and fast, written in Go

MTA (Mail Transfer Agent):

  • Postfix — Most stable and widely used
  • Haraka — Built on Node.js, high performance

Server Setup Step by Step

Step 1: Prepare DNS

Before sending any message, configure DNS records:

SPF:

v=spf1 ip4:YOUR_SERVER_IP -all

DKIM: Generate a 2048-bit DKIM key and add it as a TXT record.

DMARC:

v=DMARC1; p=quarantine; rua=mailto:dmarc@yourdomain.com; pct=100

PTR (Reverse DNS): Ensure the IP address points to the domain. Without a valid PTR, many servers will reject your messages.

Step 2: Install the Sending Platform

Example with Postal on Ubuntu:

  1. Install Docker and Docker Compose
  2. Download Postal and modify configuration
  3. Create the database and enable the interface
  4. Connect the domain and enable SSL

Step 3: Warm Up the New IP

This step is critical. A new IP has no reputation. If you send 10,000 messages on day one, every email provider will block you.

Suggested warm-up schedule:

Day Messages
1-3 50 messages/day
4-7 200 messages/day
8-14 500 messages/day
15-21 1,500 messages/day
22-30 5,000 messages/day
31+ Full volume gradually

During warm-up: Send only to active subscribers who have previously opened your messages.

Step 4: Set Up Monitoring

Monitor these metrics daily:

  • Delivery rate — must be above 95%
  • Bounce rate — under 2%
  • Complaint rate — under 0.1%
  • Blacklists — check IP daily via MXToolbox

Best Practices for Sending

Mailing List Management

  • Double opt-in — subscriber confirms their email before being added
  • Clear unsubscribe link — in every message, without complications
  • List cleaning — remove dead addresses every 3 months
  • Never buy pre-built lists — this is the fastest path to blacklisting

Message Content

  • Text-to-image ratio no less than 60:40
  • Avoid spam trigger words (free, win, exclusive)
  • Test messages before sending via Mail Tester
  • Provide a plain text version alongside HTML

Server Location and Deliverability

A marketing server in Saudi Arabia gives you an additional advantage: your messages reach Saudi mail servers faster. CLOUD provides servers in Riyadh with clean IPs and PTR support — ideal for email marketing servers.

  • Provide a clear and immediate unsubscribe mechanism
  • Maintain consent records (when subscribed, from where, what was agreed to)
  • Never send without prior consent — PDPL mandates this
  • Honor deletion requests within 30 days
