Creating Business Email in cPanel: Step by Step

Setting Up Email in cPanel: Step by Step
Professional email is not optional — it is a business requirement. Sending from info@yourcompany.com instead of a Gmail account signals credibility to clients, partners, and government entities. This guide walks through the complete cPanel email setup process.
Step 1: Creating an Email Account
Log in to cPanel and navigate to "Email Accounts." Click "Create," enter the desired address (such as info, support, or billing), and set a strong password of at least 12 characters mixing letters, numbers, and symbols. Set a Quota (storage limit) — avoid leaving it "Unlimited" unless you have abundant disk space, since an uncapped mailbox can eventually fill your entire server.
Best practice: create separate accounts per function — billing@, support@, dev@. This enables clean email routing and keeps department communications separate.
Setting Up Forwarders
Forwarders automatically redirect incoming mail from one address to another. For example, forwarding info@yourcompany.com to your personal inbox ensures no message is missed. Navigate to "Forwarders" in cPanel, select the source address and destination, then click Add Forwarder.
You can also create "Domain Forwarders" that redirect all mail for an entire domain to another — useful during company rebranding or domain consolidation.
Auto-Responders
Auto-responders send automatic replies to incoming messages. They are useful for out-of-office notifications or initial support acknowledgments. Navigate to "Auto Responders," compose a professional message, and set start and end dates. Be specific: mention when the recipient should expect a real response rather than using vague language.
Webmail Access
cPanel includes two browser-based email clients: Roundcube and Horde. Access them by visiting webmail.yourdomain.com or clicking "Check Email" in cPanel. Roundcube is the more popular choice due to its modern interface. Horde offers stronger calendar and task management features.
MX Records
MX records define which server receives incoming mail for your domain. In cPanel, navigate to "MX Entry" to review the current configuration. If you use Google Workspace or Microsoft 365, you must update the MX records to point to their servers. For hosting handled entirely through cPanel, the defaults are correct.
Additionally, verify that SPF, DKIM, and DMARC records are configured. These three DNS records authenticate your outgoing mail and significantly reduce the chance of your messages landing in spam folders. cPanel provides an "Email Deliverability" tool that checks and corrects these records automatically.
Spam Filtering
cPanel includes SpamAssassin, which scores each incoming message and flags those exceeding a threshold. Activate it from "Spam Filters" and choose whether high-scoring messages should be deleted automatically or moved to a spam folder. The default sensitivity level of 5 is appropriate for most use cases — lowering it too far will flag legitimate email.
Configuring Outlook and Gmail
For any desktop email client:
- IMAP: port 993 with SSL — keeps messages on the server, syncs across devices
- POP3: port 995 with SSL — downloads messages locally
- SMTP: port 465 or 587 with SSL/TLS for outgoing mail
Find all settings in cPanel under Email Accounts → "Connect Devices." cPanel also provides auto-configuration files for iOS, Android, and Outlook.
For Gmail (Send As): Go to Gmail → Settings → Accounts → "Send mail as" → add your professional address using your cPanel SMTP settings. This lets you send from your business email directly within Gmail.
Managing Email Quotas
Mailboxes that reach their quota silently reject new messages. Set 500 MB for standard users and 2 GB for administrators. Monitor usage in Email Accounts and adjust quotas as needed. Regular cleanup reminders keep mailboxes within bounds.
A Note on Saudi Business Context
Companies dealing with Saudi government entities benefit significantly from having corporate email hosted on a Saudi server with a .com.sa or .net.sa domain. Some government departments and ministries reject replies originating from Gmail, Hotmail, or foreign hosting providers.
كلاود configures SPF and DKIM automatically on all shared hosting accounts, reducing delivery failures to government email systems. For businesses that require National Access (النفاذ الوطني) integration or ministry API connectivity, a local server with a verified Saudi domain is the appropriate foundation.
Proper email setup takes under an hour. The business impact — professional image, reliable delivery, and government compatibility — lasts for years.
